If you have spent any time on LinkedIn lately, you have been told three things about AI in business: it is going to replace your job, it is going to 10x your productivity, and you need to use it for everything immediately. None of these are useful. The teams getting actual value from AI in 2026 are doing something much quieter — they are picking a small number of repetitive, low-judgment workflows and automating them with the help of a model that costs less than a coffee subscription.

This is a field guide to five of those workflows. Each one can be stood up in an afternoon, costs under $50 per month at small scale, and pays back within the first week of use. Pick one and ship it. Add the next when the first feels stable. By month two you will have given your team back roughly a day a week of meeting-notes, follow-up, and triage time — and you will have done it without firing anyone or launching a “transformation.”

1. Customer support triage

The single highest-ROI use of AI in most businesses is the inbox. Not replying for you — triaging for you. Most support tickets fall into three buckets: things the docs already answer, things one person on your team has answered a hundred times, and things that genuinely need a human. AI is excellent at sorting the first two from the third.

The simplest setup

You do not need a dedicated “AI customer support platform” for this. You need three things: a shared inbox or help desk (Zendesk, Help Scout, Intercom, Front, or even a Gmail label), an automation tool (Zapier or Make), and any LLM (Claude, ChatGPT, or Gemini via API — all are fine here).

The flow:

  1. New ticket arrives. Zapier or Make picks it up.
  2. The automation sends the ticket text plus your top 20 docs to Claude or ChatGPT with a prompt: “Classify this ticket as one of: doc-answerable, FAQ, needs-human. If doc-answerable, draft a 3-sentence reply citing the doc.”
  3. If “doc-answerable” or “FAQ”, the draft reply is added as an internal note on the ticket. A human reviews and clicks Send.
  4. If “needs-human”, the ticket is routed to the right person with a short summary at the top.

The mistake most teams make

Turning on full auto-reply on day one. Don’t. Run the system for two weeks with a human in the loop on every ticket. Review the drafts. Tune the prompt with examples of times it got things wrong. Then, only for the doc-answerable bucket, consider auto-replying — and even then, keep the human review on the FAQ bucket forever.

2. Meeting notes and follow-ups

Every meeting takes thirty minutes longer than it should because someone has to write the notes afterward. Skip that. Use a meeting notetaker (Granola, Fellow, Fireflies, Otter, or Tactiq — pick by price and ecosystem fit) that auto-joins your calls and produces a structured summary.

The trick is what you do with the summary. Most teams stop at “save it in Notion.” That is half the value. Take it one step further:

  • Pipe the summary into Claude or ChatGPT with the prompt: “Extract every commitment by name. Format as: PERSON — ACTION — DEADLINE. If a deadline is missing, mark as ‘this week.'”
  • Drop the result into a Slack channel or a follow-up email to the attendees.
  • Track the commitments in your project tool. Linear, Asana, or a simple Notion database all work.

Six weeks of this and every meeting in your company has visible, accountable outcomes. The change in tone — from “I think someone was going to do that?” to “Marco committed to X by Friday” — is sharper than any process change you could roll out.

What it costs

A meeting notetaker is roughly $10–20 per seat per month. The post-processing prompt runs against your existing AI subscription. For a team of ten, you are looking at $150–250 a month, which is recovered in the first week from people no longer writing recap emails on the train home.

3. Pre-call lead research

If you do any kind of sales or client outreach, you have probably spent fifteen minutes before a call reading a LinkedIn profile and skimming the company’s About page. That fifteen minutes is now a 90-second prompt.

The setup:

  1. Use any paid AI tier with web access — Claude Pro, ChatGPT Plus, or Gemini Advanced all work.
  2. Build a saved prompt template you can paste before each call:

    “You are prepping me for a 30-minute first call with [NAME], who is [ROLE] at [COMPANY]. Pull from their LinkedIn, the company website, any recent press, and their podcast appearances if any. Tell me: their background in 3 lines, what their company actually does in 2 sentences, two specific things I can ask about that show I have done my homework, and one open question they may be wrestling with based on recent moves at the company.”

  3. Paste, wait thirty seconds, read.

Two warnings. First, do not trust the output blindly — models hallucinate roles, dates, and company facts more often than you would like. Click through any specific claim before mentioning it in the call. Second, do not paste the output into the call as your script. Skim, internalize, and then talk like a human.

4. Contract and policy first-pass review

If you sign any kind of contract — vendor agreement, NDA, statement of work, employment contract — AI can save you the first read. Not the lawyer review. The first read.

The workflow:

  1. Upload the contract PDF to Claude or ChatGPT.
  2. Prompt: “You are reviewing this contract on my behalf. I am the [PARTY: e.g., ‘service provider’ or ‘customer’]. List every clause that is unusual, missing, or worse than industry-standard for this kind of agreement. For each, explain in one sentence why it matters, and suggest the redline. Do not give legal advice; flag anything that needs my lawyer’s eyes.”
  3. Skim the output. Send the flagged sections to your lawyer with the AI’s notes attached.

This is the workflow that has the most impact for small businesses without in-house counsel. A 40-minute lawyer call goes from “read everything for me” to “tell me about these seven things.” You save several hundred dollars and several days on every contract cycle.

An important caveat

This is decision support, not a decision. Do not sign anything based on AI-only review. The point is to make the human review faster and more focused, not to replace it.

5. Weekly reporting from your tools

Most operators spend the first hour of Monday reading dashboards and writing a status note. Half of that is mechanical: copying numbers, calculating week-over-week, noticing outliers. AI does that part well.

The setup:

  1. Build a simple export each Sunday night: Stripe revenue, Google Analytics traffic, HubSpot or Pipedrive pipeline, your support ticket volume. CSV is fine.
  2. Paste the CSV(s) into Claude or ChatGPT with the prompt: “Here is this week’s data and last week’s. Write me a 200-word status update. Lead with the single most important number. Note anything that moved more than 20%. Flag anomalies. End with one question I should be asking my team this week.”
  3. Edit the output. Send.

The first time you do this, you will rewrite half of it. By week four, you will rewrite a sentence. The point is not that the AI writes the perfect report; the point is that it does the boring scaffolding so your time goes to the parts that need your judgment.

Common mistakes to avoid

  • Trying to automate too much at once. Pick one workflow. Get it stable. Then add the next.
  • Letting AI ship without a human review. Especially anything customer-facing. Drafts only, for at least the first month.
  • Buying an “AI platform” before you know the workflow. Every workflow above starts with a $20 Claude or ChatGPT subscription and a Zapier seat. You can move to dedicated tools later.
  • Not telling your team why. If your support team thinks the AI is there to replace them, they will quietly sabotage it. Tell them, in plain language, that it is there to remove the work they do not want — and ask them to help tune the prompts.
  • Skipping prompt tuning. The difference between a useful AI workflow and a useless one is usually three rounds of refinement with real examples. Budget half a day for it.

Your first 30 days

If you are starting from zero, here is the order to do it:

  • Week 1: Get a Claude Pro or ChatGPT Plus seat. Use it for pre-call research and ad-hoc questions. Get comfortable with the model’s failure modes — the shape of the things it gets confidently wrong matters more than the things it gets right.
  • Week 2: Install a meeting notetaker. Set up the commitment-extraction prompt. Use it on every internal meeting.
  • Week 3: Build the customer support triage flow with Zapier or Make. Run it with a human in the loop on every ticket.
  • Week 4: Run a weekly reporting flow. Send the output to yourself for the first two weeks before sharing it with the team.

By day 30, you will have given each person in your business roughly a day a week back. Most teams use that day on the work that AI cannot do — the strategy calls, the customer relationships, the hires, the product decisions. That is the actual business case. It is much smaller, much quieter, and much more useful than the LinkedIn pitch.

A note on cost

For a team of ten, the full stack above — one shared Claude or ChatGPT seat for prompting, a meeting notetaker for everyone, one Zapier or Make seat — runs about $200–400 per month. Compare that to even one extra hour a week saved per person and the math is not subtle. The actual cost is rarely the bottleneck. The bottleneck is the half-day per workflow you need to set it up properly, and the discipline to add one workflow at a time instead of all five on Monday.
